UKUNI Admission Ltd ("UKUNI", "we", "us", "our") is committed to protecting the privacy of prospective students, applicants, parents, agents and website visitors. This notice explains how we collect, use, disclose and safeguard your personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and applicable ICO guidance.

1. Who we are

UKUNI Admission Ltd is a company registered in England and Wales (Company No. 17065720), with its registered office at 38 Hope Street, Stoke-On-Trent ST1 5BS. We act as an independent education consultancy assisting home and international students to apply to UK higher education institutions.

For the purposes of UK GDPR, UKUNI is a data controller for personal data submitted through our website, enquiry forms and consultations.

2. Data we collect

  • Identity & contact: name, date of birth, nationality, address, email, telephone, WhatsApp.
  • Academic: qualifications, transcripts, English language test scores (IELTS, TOEFL, PTE), personal statement, references.
  • Immigration: passport details, visa history, ATAS/UKVI documentation (international applicants only).
  • Financial: proof of funds, sponsor details, Student Finance England reference (where relevant).
  • Special category data: disability, health or safeguarding information — processed only with your explicit consent and where necessary for reasonable adjustments.
  • Technical: IP address, browser type, device data, cookie identifiers, pages visited (see our Cookies Policy).

3. Lawful basis

We rely on the following UK GDPR Article 6 lawful bases:

  • Consent — for marketing communications and non-essential cookies.
  • Contract — to deliver our consultancy services once you engage us.
  • Legitimate interests — to respond to enquiries, prevent fraud, and improve our services.
  • Legal obligation — to comply with UKVI, HMRC, safeguarding and anti-money-laundering duties.

4. How we use your data

  • Assess eligibility and match you to suitable UK courses and universities.
  • Submit UCAS, direct or CAS applications to partner institutions on your behalf.
  • Provide visa, Student Finance, scholarship and accommodation guidance.
  • Communicate updates, offers and reminders relating to your application.
  • Comply with UKVI reporting, safeguarding and audit obligations.

5. Sharing your data

We share your data only where necessary with:

  • UK universities and pathway providers you have chosen to apply to.
  • UCAS, Student Finance England and, where relevant, UK Visas & Immigration.
  • Vetted third-party processors: secure hosting, CRM, email and analytics providers under UK GDPR-compliant contracts.
  • Regulators, law-enforcement or safeguarding authorities where legally required.

We never sell your personal data to third parties.

6. International transfers

Where personal data is transferred outside the UK (for example to an overseas university, sponsor or cloud provider), we rely on adequacy regulations, the UK International Data Transfer Agreement (IDTA) or the EU Standard Contractual Clauses with the UK Addendum.

7. Retention

We retain application data for up to 6 years after your last interaction, in line with UK statutory limitation periods and UKVI sponsor-record guidance. Marketing preferences are retained until you withdraw consent.

8. Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict or object to processing of your data, to data portability, and to withdraw consent at any time. To exercise a right, email info@ukuniadmission.co.uk. We respond within one calendar month.

You may also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.

9. Security

We apply appropriate technical and organisational measures including TLS encryption, access controls, staff confidentiality training, and regular review of processors.

10. Children

Applicants under 18 must have parent or guardian consent before submitting personal data. See our Safeguarding Policy.

11. Changes

We review this notice annually. Material changes are notified by email or a prominent website banner.
